QuickBooks AI in 2026: What Intuit's AI Agents Do and Don't

14 min read

Ask owners about QuickBooks AI and you get two very different answers. Here is a longtime user in Intuit's own community forum, asking how to switch it off:

It constantly gets things wrong so I don't trust anything it does.

JackRambinDiamond on the QuickBooks Community

And here is the founder of a Canadian children's apparel brand, quoted by Intuit in October 2026, on what automatic categorizing, custom reports and invoice reminders save her:

[That's] less time I'm spending on the administrative side of the business

Hanna Kim-Yoo of Oori Noa, quoted by Intuit

Both can be true, because Intuit's AI is a set of helpers for whoever works in QuickBooks. It suggests, drafts and flags, and in most cases a person still reviews, approves and posts. This guide covers what Intuit's AI is called now, what each piece does, which plans and countries get it, and what's still on you. It also covers how built-in AI differs from an AI bookkeeper that does the entry in QuickBooks for you. Every claim about Intuit's product comes from Intuit's own pages, checked in October 2026.

What is QuickBooks AI? The short answer

QuickBooks AI is the set of AI features Intuit builds into QuickBooks Online, now branded Intuit Intelligence. It includes a chat you can ask about your numbers and eight named AIs that categorize transactions, draft invoices and reminders, check sales tax and build reports. Most of it suggests or drafts, and you review and approve.

Intuit Assist, agents, Intuit Intelligence: what the names mean now

If you searched for Intuit Assist and found pages about agents instead, that's because Intuit has changed what it calls its AI several times in two years, and articles from each phase still rank.

WhenWhat Intuit announced
November 2024Intuit Assist for QuickBooks, a generative AI assistant that drafted estimates, invoices, bills and payment reminders, for QuickBooks Online customers in the US
July 2025A team of AI agents: Payments, Accounting, Finance and Customer agents, with Payroll and Project Management agents to follow, rolling out in the US
October 2025Intuit Intelligence, a layer that ties the agents together with a chat you can ask about your business, plus new Sales Tax and Payroll agents
November 2025Agents for QuickBooks customers in the UK and Canada
February 2026A Business Tax Agent in beta that looks for deductions you may have missed
October 2026Intuit Intelligence available internationally, with its newest features in beta

Today, Intuit's US help center and pricing page use Intuit Intelligence for the overall layer and call each helper an "AI" rather than an agent: Accounting AI, Payments AI and so on (Intuit's overview of its AI in QuickBooks Online). We found no Intuit page announcing that Intuit Assist was retired. Intuit's current product and pricing pages don't use the name, but it still turns up in help articles, for example as the assistant that can auto-respond to clients when QuickBooks asks for more detail on a transaction (Intuit help). Read Intuit Assist, Accounting Agent and Accounting AI as names for parts of the same system at different points in time.

The QuickBooks AI agents, one by one

Intuit's help center lists eight. Here's what Intuit says each one does, and the lowest US plan where its pricing page lists it.

AIWhat Intuit says it doesLowest US plan
Accounting AISuggests categories and matches for bank transactions, groups the ones it's confident about as "Ready to post," and asks for details on unclear ones. Payments AILearns when and how your customers pay, drafts invoice reminders and suggests late feesEssentials

On top of these sits the Intuit Intelligence chat. You can ask it why costs are up or tell it to run payroll, and it answers from your own data or starts the task (Intuit Intelligence). The US pricing page lists AI chat from Simple Start, marked beta with limited capacity, and Intuit's footnotes say the chat is available only to admin users for now and that prompts are limited. Under the hood, Intuit says Intuit Intelligence doesn't rely on a single model: it uses language models for reasoning, machine learning for prediction and ordinary code where precision matters.

Intuit's own numbers. In its October 2026 release, Intuit says millions of customers use these features every month and that early adopters report saving 13 hours a month on average. Intuit also says customers get paid four days faster on average when they send invoice reminders with Payments AI. These are Intuit's figures about its own customers. The "up to 12 hours a month" claim in Intuit's 2025 announcements rests on a survey Intuit commissioned, in which 45% of customers using the AI-powered bank feed said they saved 12 hours a month.

Which QuickBooks plans get which AI

Each plan includes everything in the plans below it. Prices are the list prices on Intuit's US pricing page in October 2026, before its current offer of 50% off for three months.

PlanList price per monthUsersAI added at this level
Simple Start$381AI suggestions on the banking page, expense categorizing, AI chat (beta), deduction finder
Essentials$853Accounting AI's Ready to post, Payments AI, Business Tax AI, bulk invoice creation (beta), an annual books check-in
Plus$1405AI help with reconciliation, anomaly checks, Sales Tax AI, Customer AI, scenario planning in chat (beta)
Advanced$34025Project Management AI, Finance AI, continuous books quality checks

The pricing page doesn't list AI features for QuickBooks' Free plan. On that page, AI isn't sold as a separate add-on, but Intuit's announcements carry the usual fine print that additional terms, conditions and fees may apply with certain features. Some guides that rank for this search still show 2025 prices, so check the pricing page before you budget.

Which countries get QuickBooks AI?

  • United States. The agents rolled out from July 1, 2025, and Intuit Intelligence from October 28, 2025. The plan details above are US details.
  • UK and Canada. On November 14, 2025, Intuit announced agents for QuickBooks customers in both countries: Accounting, Customer, Finance and Project Management, plus a VAT AI in beta in the UK and a Sales Tax AI listed as coming soon in Canada. Intuit said the AI's output would be English-only at launch and recommended reviewing all outputs carefully.
  • Other markets. On October 14, 2026, Intuit said Intuit Intelligence is rolling out internationally to QuickBooks Online and QuickBooks Online Advanced customers, with the new features in beta and availability varying by product and region. Its Canadian product update lists invoice drafting, Ready to post with indirect tax suggestions, and a chat limited to admin users with a monthly capacity.

Everything above is QuickBooks Online and Intuit Enterprise Suite. If you use QuickBooks Desktop, ask Intuit what applies to your version.

What QuickBooks AI still leaves to you

Intuit designed its AI to keep you in control, and its help articles are specific about where you come in.

  • You review and post. For Ready to post, Intuit's help center says you review the transactions, make any edits and post them when you're ready, and that AI never causes your bank rules to auto-post a transaction (Intuit help). On the banking page, it tells you to confirm each suggestion before you select Post. The exception: Accounting AI auto-posts some matches, such as paychecks and payroll taxes from Intuit's payroll products and bills paid through QuickBooks Bill Pay, and labels them so you can check.
  • You supply the context. When a transaction is unclear, Accounting AI helps you send one link asking your accountant, a client or someone on your team for details and files, and checks that the right receipts come back. Someone still has to know what that $640 charge was for.
  • You get everything in. The banking page works with what your connected accounts download. Cash jobs, business costs on a personal card, and other "transactions that don't live inside a nice system," as one Hacker News commenter put it, still have to reach QuickBooks somehow.
  • You reconcile and close. On Plus and Advanced, AI flags issues during reconciliation and explains how to resolve them, but you resolve them. Its report review covers a majority of balance sheet and P&L accounts, not all of them, and Intuit calls it a supplemental review (Intuit help).
  • You approve what goes out. Intuit's AI page says you review and edit AI-drafted messages, estimates, reminders and bills, and that when it offers fixes for anomalies, you decide the next move.
  • You check its work. Intuit's own disclaimer says Intuit Intelligence can make mistakes. And the US help center says there's currently no way to turn off AI features individually; you can drop the banking page's AI suggestions by switching that page back to its previous version.
  • You or your accountant file. Sales Tax AI reviews a return before you file it. Business Tax AI suggests deductions and, at filing time, hands off to human tax experts through Intuit's QuickBooks Live Tax (Intuit).

Intuit is plain about the accountant, too: its AI page says Intuit AI doesn't replace the expertise your accountant provides. What changes is how they spend their time. More on that in how AI is changing accounting.

AI built into QuickBooks vs an AI bookkeeper for QuickBooks

Two different things share the label "AI bookkeeping for QuickBooks." Built-in AI is a feature of the software. It helps whoever opens QuickBooks and works through the queue, whether that's you, an office manager or your bookkeeper. An AI bookkeeper is a service that does the day-to-day entry in QuickBooks for you, from what you send it, so the work doesn't wait for you to log in.

Both leave your accountant in place. The first makes their review faster. The second hands them books that are current.

When Intuit's built-in AI is enough

Intuit's AI does real work, and for plenty of businesses it's all the AI they need. It's likely enough when:

  • Your money moves through connected accounts. If nearly every sale and expense passes through bank and card accounts linked to QuickBooks, the feed already sees almost everything, and Ready to post does much of the sorting.
  • Someone already works in QuickBooks. If you, an office manager or a bookkeeper opens it a few times a week, the review queue stays short and the questions get answered while people still remember.
  • You invoice from QuickBooks. Payments AI's reminder drafts, from Essentials up, cover the routine follow-up. For the harder conversations, see how to follow up on an overdue invoice.
  • You're on Plus or Advanced. Reconciliation help and the report review give you a second check before your accountant sees the books.

When you need more than the software

  • Nobody wants to log in. The AI suggests, but the queue waits for a person. If that person is you and you're on a job site all day, the queue grows.
  • The paperwork lives on your phone. Receipts in the truck, cash jobs, an invoice you meant to send from the driveway: those start outside QuickBooks, and someone has to get them in.
  • The books are already behind. If you're months behind, catch up first with a QuickBooks cleanup, then decide how to keep them current.
  • You want a person. Intuit's AI page notes you can add human expert help from Intuit, and many owners hire their own bookkeeper. Here's how to find a QuickBooks bookkeeper.

Where Ruth fits

Ruth is Clef's AI bookkeeper, and this is Clef's blog, so weigh this section with that in mind. She's the second column in the table above: an AI that runs your QuickBooks for you. Once you connect QuickBooks Online, she works directly in it. You text or email her a receipt or what came in, and she enters the expense or income in QuickBooks with the receipt or invoice attached. She books transactions to the right accounts and asks you about the ones she can't place. She logs invoices you've already sent, creates new ones and sends one only after you say yes, records payments, and asks on the due date whether a payment came in. Before she adds anything, she checks QuickBooks for a matching entry, so nothing goes in twice.

Her limits are real. QuickBooks' connection for outside apps can't see the bank feed's For Review list, so she can't post those pending transactions for you; that list is where Intuit's own Accounting AI works. She never moves money and never files taxes. She works alongside your accountant or CPA, not instead of them: she keeps QuickBooks current day to day, so they get clean books and spend their time on advice, review and taxes. Connecting QuickBooks is optional. See how Ruth works and her plans.

This is general information, not tax or legal advice; your CPA or accountant can apply it to your business. Intuit labels many of the features above as beta and says features vary by plan and region and can change without notice.

Frequently asked questions

Does QuickBooks have AI agents?

Yes. QuickBooks Online has eight named AIs that Intuit first called agents: Accounting, Payments, Customer, Finance, Project Management, Payroll, Sales Tax and Business Tax. They sit under Intuit Intelligence, which adds a chat you can ask about your numbers. Which ones you get depends on your plan.

Is QuickBooks AI included in my plan, or does it cost extra?

On Intuit's US pricing page, AI features are listed as part of each plan rather than sold as an add-on, and more of them come with higher tiers: Accounting AI and Payments AI from Essentials, Sales Tax AI and Customer AI from Plus, Finance AI and Project Management AI on Advanced. Intuit's fine print says additional fees may apply to certain features.

What happened to Intuit Assist?

Intuit Assist was the name of the generative AI assistant Intuit launched in QuickBooks Online in 2024. Intuit then added AI agents in 2025 and introduced Intuit Intelligence that October. Intuit's current QuickBooks product and pricing pages use Intuit Intelligence and names like Accounting AI, though Intuit Assist still appears in some help articles.

Can you turn off AI in QuickBooks Online?

Not one feature at a time. Intuit's US help center says there isn't currently a way to turn off AI features individually. You can remove the AI suggestions on the bank transactions page by switching that page back to its previous version.

Will QuickBooks AI replace my bookkeeper or accountant?

Intuit doesn't pitch it that way. Its own AI page says Intuit AI doesn't replace your accountant's expertise, and its features suggest, draft and flag for a person to review. It can make that review faster. The judgment calls, the sign-offs and the tax filing still need a person.
